Noctune ("we," "us," or "our") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, and safeguard your information when you use our veterinary transcription platform.
1. Information We Collect
We collect audio when you record a consultation in the app; transcriptions, SOAP notes, and discharge summaries are generated from that audio; account details are provided by you at sign-up; and usage and log data are collected automatically as you use the Service.
Account Information
- Email address
- Display name
- Authentication credentials (managed by our identity provider)
Clinical Data
- Audio recordings of veterinary consultations
- Transcriptions generated from audio recordings
- SOAP notes and discharge summaries generated from transcriptions
- Patient (animal) information associated with encounters
Usage Data
- Log data (IP address, browser type, access times)
- Feature usage and interaction patterns
- Error reports and diagnostics
2. How We Use Your Information
We use your information to:
- Provide and maintain the Service
- Generate transcriptions and clinical notes from your audio recordings
- Improve the accuracy of our transcription and note-generation models. Any use of your data to train or refine our own models is carried out only by us or by the subprocessors already named in this policy (currently Deepgram and AWS); we do not add new third parties for this purpose, and we obtain your consent where the law requires it.
- Communicate with you about your account and the Service
- Ensure the security and integrity of the Service
3. Data Processing
When you submit a recording, we share it with the following subprocessors to produce your clinical notes:
- Deepgram receives the audio recording and returns a transcript (speech-to-text).
- Amazon Web Services (AWS) receives the resulting transcript and generates your SOAP notes and discharge summaries using large language models (AWS Bedrock).
We share this data with Deepgram and AWS only under written data processing agreements that require them to protect it with safeguards at least equivalent to those described in this policy, to use it only to provide and improve these transcription and note-generation services for Noctune, and not for their own purposes. In the Noctune iOS app, we ask you to review and agree to this processing before you record.
4. Data Storage and Security
- Your data is stored on secure cloud infrastructure (AWS).
- We use encryption in transit (TLS) and at rest.
- Access to data is restricted to authorized personnel and systems.
5. Data Retention
- Account data is retained for the duration of your account.
- Clinical data is retained according to your account's service configuration and applicable veterinary record-keeping requirements.
- You may request deletion of your data by contacting support.
6. Data Sharing
We do not sell your personal information. We may share data with:
- Third-party AI subprocessors that transcribe your recordings and generate your notes — specifically Deepgram and Amazon Web Services (AWS Bedrock), as described in Section 3 (Data Processing)
- Other service providers who assist in operating the platform (under data processing agreements)
- Law enforcement when required by law
- Successors in the event of a merger, acquisition, or asset sale
7. Veterinary Data Notice
Noctune processes veterinary clinical data (animal health records). We apply strong security and privacy practices to all clinical data.
8. Your Rights
You have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Withdraw consent for optional data processing
9. Cookies and Tracking
We use essential cookies for authentication and session management. We do not use third-party advertising trackers.
10. Children's Privacy
The Service is not intended for individuals under 18 years of age.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or in-app notification.
